USE CASES

What you can build

Customer follow-up emails

An agent identifies customers who have not responded in 7 days and sends a personalized follow-up email from your team address with context from the CRM.

Invoice notifications

When a new invoice is created in your billing app, an email is automatically sent to the customer with the invoice details and a payment link.

Support inbox monitoring

An agent monitors your support inbox and creates tickets in your internal help desk when new emails arrive. It categorizes by urgency and assigns to the right team member.

Automated email sequences

Trigger multi-step email sequences from your internal tools. Onboarding emails, renewal reminders, feedback requests. Each step is personalized with data from your shared database.

Meeting follow-up automation

After a meeting is logged in your CRM, an agent sends a thank-you email with meeting notes and next steps. No manual drafting.

Contract renewal reminders

An agent monitors contract expiration dates and sends renewal reminders to customers 30, 14, and 7 days before expiry. Escalates to the account manager if no response.

Internal notification emails

When events happen in your internal tools (approvals needed, deadlines passed, status changes), your app sends notification emails to the relevant team members.

Email-based data collection

An agent reads structured responses from emails (approval confirmations, survey responses, order requests) and writes the data to your internal database.

HOW IT WORKS

Connect Gmail in three steps

1

Connect your Google account

OAuth login with your own Google credentials. No third-party email service. Emails are sent from your domain. Your Google OAuth tokens are stored in an encrypted vault.

2

Send and read emails from apps

Your internal tools send emails, read inbox messages, and trigger workflows based on incoming mail. All through your Google account, all with your domain.

3

Agents handle email workflows

AI agents send follow-ups, process incoming emails, and update your internal tools based on email content. Agent actions (email sent, inbox read, record updated) are logged in the audit trail.

WHY ROOTCX

Why connect Gmail through RootCX

Your credentials, your domain

Emails are sent from your Google account, not a third-party service. Your customers see your domain. You control the sending reputation. No "sent via" branding from another tool.

Email context in the shared database

Email interactions are logged alongside CRM records, support tickets, billing data, and project information. When an agent follows up with a customer, it has the full picture, not just the email thread.

RBAC on email actions

Control which agents and apps can send emails, read inboxes, or trigger sequences. A billing agent can send invoices but not read the support inbox. Every email action is in the audit trail.

DEEP DIVE

How Gmail works with RootCX

BYO Google OAuth

RootCX does not use its own email service. Your Google credentials are used directly via OAuth. This means your emails come from your domain, your sending reputation is your own, and your email deliverability is not affected by other RootCX users. You bring your own Google OAuth app credentials for full control.

Agents that email with context

When an agent sends a follow-up email, it does not use a generic template. It reads the customer record from your CRM, checks the last interaction from your support desk, reviews the billing status from Stripe, and crafts a personalized email. The email reflects the full customer relationship, not just one data source.

Inbox monitoring for automation

An agent can monitor an inbox (like support@ or info@) and take action on incoming emails. It reads the email content, categorizes it, creates a ticket in your internal tools, assigns it to the right team member, and sends an acknowledgment email back to the sender. All without human intervention, all logged.

FAQ

Gmail integration FAQ

Can I use a Google Workspace account?

Yes. Any Google account with Gmail access works. Google Workspace (business) and personal Gmail accounts are both supported.

Does RootCX store email content?

Email metadata (sender, recipient, timestamp) is logged in the audit trail. Email content is processed by agents but not stored permanently unless your app explicitly saves it to the database.

Can multiple agents share one Gmail account?

Yes. Multiple agents can send and read from the same Gmail account. Each agent action is logged separately in the audit trail.

What about email rate limits?

Gmail API rate limits apply. Google Workspace accounts have higher limits than personal accounts. RootCX handles rate limiting and retries automatically.
